Privacy Policy

1.Scope — and What This Policy Does Not Cover

This policy covers the Site and inquiries you send us. It does not cover data processed by Voitta software deployed in your own environment. Voitta Community and Voitta Enterprise are self-hosted: the content they index and the queries they serve remain within your infrastructure and are never transmitted to Voitta. For enterprise customers, any processing by Voitta personnel (for example, during deployment assistance) is governed by the applicable services agreement, not this policy.

2.Information We Collect

• Information you send us. If you email us (for example, at contact@voitta.ai) or book a demo through our scheduling provider, Calendly, we receive your name, email address, and anything else you include, such as your company, role, and meeting preferences. Providing it is voluntary. Calendly's own processing is described in its privacy notice at calendly.com/privacy.
• Technical log data. Our hosting and content-delivery providers (currently Amazon Web Services) automatically log standard technical information when you visit the Site, such as IP address, browser type, pages requested, and timestamps, for security and operational purposes.
• Analytics. We use Google Analytics, a web analytics service provided by Google LLC, to understand how visitors use the Site. Google Analytics uses cookies and similar technologies to collect information such as your approximate location, device and browser type, pages visited, and how you arrived at the Site. We use this information in aggregate to improve the Site; we do not use it to identify you, and we do not use Google's advertising features. You can learn how Google processes this data at policies.google.com/privacy, and you can opt out of Google Analytics with the Google Analytics opt-out browser add-on or by blocking analytics cookies in your browser.

We do not collect sensitive personal information, and the Site is not directed to children under 16; we do not knowingly collect information from children.

3.How We Use Information

We use the information described above to: respond to your inquiries and demo requests; communicate with you about our products and services; understand how the Site is used and improve it; operate, secure, and troubleshoot the Site; and comply with legal obligations. Where the EU/UK GDPR applies, our legal bases are: your consent (which you may withdraw at any time, including for analytics cookies); our legitimate interests in operating and improving the Site, securing our infrastructure, and responding to and following up on business inquiries; and compliance with legal obligations.

4.How We Share Information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only with:

• Service providers that host our infrastructure, provide email, scheduling, and analytics (such as Amazon Web Services, our email provider, Calendly, and Google Analytics), acting on our instructions;
• Professional advisors (lawyers, accountants) where necessary;
• Authorities, if required by law or to protect rights, safety, or security; and
• A successor entity in connection with a merger, acquisition, or sale of assets, in which case this policy will continue to apply to previously collected information.

5.International Transfers

We are based in the United States, and information we collect is processed there. If you contact us or visit the Site from outside the U.S., you understand your information will be transferred to the U.S. Where GDPR applies to a transfer, we rely on appropriate safeguards such as standard contractual clauses implemented by our service providers.

6.Retention

We keep correspondence for as long as needed to handle your inquiry and maintain our business relationship, and then for a reasonable period consistent with legal, accounting, and record-keeping requirements. Infrastructure logs are retained on short rotation periods set by our hosting providers. Google Analytics data is retained for the shortest period the service allows before automatic deletion.

7.Your Rights

Depending on where you live (including the EU/UK and a number of U.S. states), you may have the right to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to not be discriminated against for exercising these rights. To exercise any right, email contact@voitta.ai. We will verify your request via the email address associated with the information and respond within the time required by applicable law. If we deny a request, you may appeal by replying to our decision. EU/UK residents may also lodge a complaint with their supervisory authority; California residents may contact the California Privacy Protection Agency or Attorney General.

8.Cookies, Do Not Track, and Global Privacy Control

The Site uses cookies only for the analytics purposes described in Section 2 — we do not use advertising cookies and do not track visitors across other websites. You can decline analytics cookies through your browser settings or the Google Analytics opt-out add-on. Because we do not sell personal information or share it for cross-context behavioral advertising, there is no "sale" or "sharing" to opt out of under U.S. state privacy laws; browser Do Not Track and Global Privacy Control signals do not change how the Site behaves.

9.Security

We use reasonable administrative and technical safeguards appropriate to the nature of the information we handle, including access controls on our email and infrastructure. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10.Changes to This Policy

We may update this policy from time to time. The "Last updated" date reflects the current version. Material changes will be posted on this page.
